Terms & Conditions
We require a credit card to reserve or book an event. A deposit of $100 is due upon booking your event. Your remaining balance needs to be paid when the staff arrives up . If your event is reserved 3 days prior to your event, the reservation needs to be paid in full at the time of the booking.
Travelling Fuel Charge:
Our service area is a 18-mile radius of the City of Riverdale, IL from the zip code 60827, however, we serve areas beyond 18 miles with an additional fuel charge outside of our service area. The fuel surcharge is as follows:
18 miles or less: No additional fuel charge
18-28 miles: $45
29-38 miles: $54
39-48 miles: $65
49-58 miles: $74
58+ miles: Call for pricing (773)629-0887
If your event is beyond 58 miles from our service area, please call us to see if we can come to your event.
Refund/Cancellation/Reschedule Policy:
a $100 NON-REFUNDABLE deposit is required to hold your reservation booking date and time. Please provide cancellation requests as soon as possible .Cancellations are accepted up to 48 hours of the event . If the event is canceled 48 hours or less before the event, you will still be responsible to pay the full amount of any remaining balance due on your reservation.
Events may only be rescheduled once and within six months of the original event date if the desired date is available with no penalty fee.
Weather forecasts and/or current conditions may affect the event:
The interior of Games On Wheels Game Truck is climate-controlled for hot summers and cold winters. We are usually able to conduct our services any time of the year, however, for mild inclement weather, the exterior gaming stations may not be available, and the Game Coach will make the necessary adjustments for a successful event. Also, if we are not able to provide our services due to severe and unexpected weather conditions and storm warnings, flooding, heavy rain, thunder/lightning storm, extreme winds, etc., we may, (and reserve the right to), delay or reschedule your service to preserve the safety of our staff, equipment, and especially you and your guests. If you are aware in advance of any weather threat that may affect your event and you are concerned, please contact us to try to reschedule for a later date.

Games On Wheels does not allow any drinks or any kind of food inside of our gaming theatre.
Alcohol / Drugs:
We understand sometimes at parties or events alcohol is served, however, we reserve the right to refuse, cancel or cut short any party or event when alcohol is being served if it is affecting or we see situations that may lead to incidents that would endanger your guests, our staff or equipment. Our goals are to deliver fun and entertainment to your guests in a nice and clean environment. Therefore, drugs of any sort will not be tolerated in or around C4 Mobile Game Truck equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the party immediately.
Damage / Injury:
Neither Games On Wheels or any of its employees shall be responsible for any damage to property resulting from a request by the client to position the theatre or any equipment in a specific location. This includes both above grounds and below ground property/equipment damage. Additionally, Games On Wheels reserves the right to charge the client’s credit card for damages to the trailer or equipment resulting from the careless or willful damage of same by the client’s guests. Neither Games On Eheels nor its employees assume any responsibility for any injuries sustained on the client’s property or their designated location. All liability for damages or injuries are the sole responsibility of the client and/or host.
Pitures / Videos:
Games On Wheels LLC always wants to show everyone how much fun we can bring to your special event or party by taking pictures or videos while your party is going on, The Ultimate coaches may be taking pictures inside or outside our gaming theater and share them on our social media channels and/or website and you and/or your guest cannot collect royalties for the use of the pictures/videos used in our social media channels. If you do not want our staff taking pictures or videos for the use of our social media, please contact us prior to the party or let our staff know immediately upon our arrival.
Video Games Rating:
Games On Wheels will not play any “M” rated or higher game in the video game theatre without authorization from the client prior to the party/event or adult approval at the time of the event. If you wish to have an “M” rated the game or higher at your party/event please contact us, indicating the game you prefer or let our Game Coaches know as soon as you can after he gets there.
To have the best fun and gaming experience is best when the trailer is in the most level & flat area, however, we will try to park our trailer on the best spot to accommodate your party. Our Game Coaches are required to park in your neighbourhood street, so you might want to let your neighbours know (in case they may object) or let us know if you have a preferred spot for us. We might also have to block a driveway. If you have a long and ample driveway where you prefer us to park the trailer, we will try our best to accommodate your request but please keep in mind that our Game Coaches will not park anywhere that may cause a danger to persons, property or equipment. Our truck and trailer combination is very long and we will need a minimum of 45 feet of space to park. Additionally, our Game Coaches will never disconnect the truck from the trailer at a party/event. The trailer stays attached to the truck for the purposes of stability. Also, our trailer cannot park on non-hardened surfaces or soft areas.
DEPOSIT/REFUND/CANCELLATION POLICY/HOLIDAYS:
A valid credit card or debit card is required to reserve your reservation. A $100 non-refundable deposit will be required to hold your reservation. Once we confirm your booking date and time, a payment arrangement can be made to pay the remaining balance. Or the remaining funds will be due when we arrive to set up . Holidays prices and time are subject to change. Games On Wheels does not process refunds. If a cancellation occurs, you will be able to reschedule your event based on availability.
PRIVACY POLICY:
Games On Wheels is committed to protecting your privacy. We use the information we collect on the site to make bookings as simple as possible and to enhance your overall experience. We do not sell, trade, or rent your personal information to others.
BAD WEATHER: (Game truck )
Games On Wheels trailer is designed for all types of weather conditions. The theater is insulated and climate controlled with heat and air conditioning. In the event of severe weather (lightning, very high winds, flooding and/or extremely heavy rains, snow or ice) we may (and reserve the right to) reschedule your service to guarantee the safety of you, your guests, our staff and equipment. If the threat of these storms threatens your party and you are aware in advance (pending or anticipated snow storm or other strong weather event) please contact us to begin the rescheduling.
BAD WEATHER: (Inflatables)
Inflatables cannot be used if there are winds of 20 mph (15 mph for some items) or more, and cannot be used in the constant rain. 24 hours and up to 7:00 am on the day of your event, we will monitor the weather to see what is predicted in the forecast. If there is a 50 percent chance or more for consistent rain, or a prediction of winds 20 mph or above during the time of your event, we allow you to cancel the day of your event before 7:00 am. You will be able to choose to move your deposit to a different date, or choose to have a credit good up to a year from the date cancellation. Absolutely NO REFUNDS! Please note: we MUST keep safety in mind at all times, so Games on Wheels reserves the right to cancel your rental due to inclement weather at any time.
-Rain-
If there is a 50 percent or greater chance for rain during the scheduled time of your event, you can reschedule. However, if the forecast is calling for scattered showers or less than 50 percent chance, we recommend you continue with your scheduled delivery. If the forecast is for continuous rain throughout the day, we recommend you cancel or reschedule your event.
-Wind-
Inflatables cannot be used in winds exceeding 20 mph (15 mph for some items). If the forecast is for high winds, we will call to cancel and you can reschedule your rental, receive a credit good for one year, or receive a refund. We will cancel the event or you must confirm cancellation before 7:00 am on the day of the event.
-Temperature-
All inflatables can be used in a wide range of temperatures, but if the temperature is expected to fall below 32 degrees at any time during your event, we will call the morning of your event to cancel/reschedule your delivery. You can reschedule, have a credit for up to one year, or receive a refund before 7 am the morning of the scheduled delivery. Keep in mind the children's activity will keep them very warm, and we recommend you continue as scheduled if the temperature is forecasted to be above 32 degrees. Deposits will not be refunded for temperature cancellations above 32 degrees.
ALCOHOL/DRUGS:
You may serve alcohol at your event or party; however, we reserve the right to refuse, cancel or cut short any party or booking when alcohol is being served. Alcohol is not allowed in the trailer at any time. Drugs of any sort will not be tolerated in or around the equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the party immediately with no refunds.

FOOD/DRINK:
Games On Wheels does not allow any food or drinks into the video game theater. Please have your guests consume them outside of the trailer prior to entering.
PICTURES:
While your party is in effect the Game Coach will be taking pictures of the party from inside the trailer. You will then be able to view these pictures on Games On Wheels LLC Facebook Fan Page and copy them to your files. If you do not want our Game Coach taking pictures or posting them on the Fan Page please notify us via Email prior to the party. This is a service we provide to our guests so they can be sure to capture their party as it happens.
VIDEO GAME RATINGS:

We do not accept personal checks under any circumstance. We do however accept checks from government agencies and public schools and, at our discretion, from local businesses that we have an established relationship with.
SAFETY
All of our inflatables have safety rules printed on them in a conspicuous place. You are obligated to read and follow all rules and regulations. Failure to follow these rules can result in injury and/or damage to the equipment which you will be liable for.
All inflatables must be secured to the ground. If the set up is on grass we will drive stakes into the ground and it is the
customer’s responsibility to be aware of, and inform our driver of, any irrigation pipes that are in the area. We are not responsible for anything a stake may hit when driven into the ground where the customer has directed us to set up. We STRONGLY ENCOURAGE our customers to stay with our crew during the set up process and inform them if they are driving stakes into a part of the ground where you think irrigation pipes may be. When we set up on concrete we will either need to tie the unit to something immovable (tree, house, car, fence, etc.) and/or under certain circumstances use sandbags to weigh the inflatable down. If an inflatable is set up indoors no tie downs, stakes or weights are required.
WHAT TO EXPECT WHEN WE SET UP
Inflatables are very heavy and require special dollies to move them. In order to set up your inflatable we need to be informed if the driver will be navigating through any gate or walkway less than 4 feet wide. Also, please be aware that we cannot move inflatables up or down steps or up or down a steep incline.
It is your responsibility to provide a smooth, level surface (see Surface Options below) for us to set up your inflatable. Every unit on our website lists the minimum required space needed to safely set up your unit. By renting the inflatable you are implying that you are absolutely certain you have the required space. If we arrive and find the space is not large enough to set up your inflatable we will work with you to find a more suitable set up spot AT THE SAME LOCATION. If you need to move your party somewhere else due to not having a large enough space you will be charged an additional fee to cover the additional workload and we will do our best to set up at your new location as quickly as possible but we cannot let a situation such as this affect the delivery time of the customers our truck has scheduled after your delivery.
SURFACE OPTIONS
The best option for setting up an inflatable is always grass. We can however set up on other surfaces if grass is not possible. The acceptable alternative surfaces are dirt and concrete. If this is the case, please tell us when you place your reservation so that we can have the driver bring tarps which will be placed under the inflatable to protect it.
Under no circumstances can an inflatable ever be set up on rocks, sand or mulch. These types of surfaces are extremely damaging to inflatables.
When selecting an area for your inflatable please inspect the ground and remove any rocks, twigs and dog poop. Our drivers are trained to scout the grounds prior to set up and will ask you to remove any such items if spotted.
Should I cut the grass before you arrive? We get asked this one all the time. The answer is
‘Yes’ – but please cut the grass AT LEAST 3 days before we arrive. If you cut it right before we get there the inflatable will get filled with clippings which means your children and guests will get covered with clippings as well. This is a common mistake that well-intentioned people make!
ELECTRICITY REQUIREMENTS
Every unit on our website tells you exactly how many Blower Motors are going to be used to operate it. It is completely the
customer’s responsibility to provide ample electric service. For each Blower Motor at your event you will need a dedicated 20AMP circuit to run it. The Blower Motors draw anywhere from 8-12AMPS but if you try to run 2 off the same circuit you will most likely spend the day resetting your circuit breaker which will cause the inflatable to go up and down. This requirement often necessitates running cords to different parts of your home in order to locate outlets which are not sharing a common breaker. Our drivers will help in this process but it is ultimately up to you, the customer, to ensure ample service is available. Large events with multiple units often require a number of the Blower Motors to be run off of a generator, which we also rent for a reasonable fee.
PROXIMITY is an important factor regarding electric requirements and selecting the set up location for your inflatable. Each Blower Motor must be within 50 feet of the source of electricity – whether it be an outlet or a generator.
PARKS
Having your party at a public park is a great alternative if you
don’t have a lot of space in your yard. We have the requisite licenses and insurance to set up an inflatable at every municipal park within our area of coverage. When having a party at a park it must be at a rented pavilion or at a ‘first come, first
serve’ (free) pavilion at a park with an explicit policy allowing inflatables from licensed vendors. It is YOUR RESPONSIBILTY to secure the pavilion and we will send our insurance and/or request the vendor pass from the administrating entity. We are not allowed to set up ‘in a field at the
park’. All parks are administered by a municipality or a private entity (like an HOA) and we will only set up in compliance with the verified rules established by the administering entity.
All parks have unique rules and restrictions. Even different parks that are all administered by the same body (county or city government) will often have rules for one park that may not apply to another. It is entirely the responsibility of the customer to speak with representatives from the park to ensure they allow the equipment you are renting from us. We know most of the rules for most of the parks but we assume zero responsibility for equipment or services rendered that is subsequently cancelled at the event due to a park representative determining that such equipment or services violate a park rule. If this happens you will not be entitled to a refund.
Some parks provide electricity but rarely is it enough to support an inflatable. We STRONGLY RECOMMEND YOU RENT SUFFICIENT GENERATOR(S) to run all of the equipment at your party. We will never insist a generator is rented from us. If you have one or if you prefer to rent one elsewhere that is sufficient to run our equipment we will gladly plug into it HOWEVER, it is completely your responsibility to ensure the generator runs properly, has gasoline (or diesel), and is rated high enough to work. We cannot assume any responsibility for your generator and you will also be responsible for ensuring the park allows an individual (as opposed to us, the vendor) to provide the generator. Please be aware that generators are not a profit center for us. We look at them as a pass through and the cost of renting a generator from us covers the gasoline and depreciation of the machine. Our rental cost is almost always lower than you will find for a comparable generator from local equipment rental businesses or home centers.
If you decline a generator from us and your own generator does not work properly we will not send our truck back to the warehouse to pick one up and add it to your order. This would cause the
driver’s other deliveries to be late. If this unfortunate scenario were to occur we would do our best to work with you but ultimately it would be up to you to source another generator and this would not be cause for a refund. Again, we STRONGLY RECOMMEND renting a generator from us if
you’re having your party in a park.
ATTENDANTS: Certain parks require the presence of an Attendant to be provided by the vendor (us) if you have an inflatable at their park – and usually
it’s only if the inflatable will be run on a generator. This is not our requirement but we must comply and you will be charged a nominal fee for this service. As with the generators, we do not regard this as a profit center. This is an ancillary service that we are required to provide in order to allow the inflatable rental to take place. This attendant service is an hourly rate which covers the cost of our employee.
COMMON SENSE
We want your party to be a big hit and we have just a few common sense pointers to ensure a great time is had by all. Read and follow all of the items above and call the office if
there’s anything you’re not sure about. And always remember:
1. NO SHOES IN OR ON THE INFLATABLE!
2. NO FOOD OR DRINK IN THE INFLATABLE!
3. ABSOLUTELY, POSITIVELY NO (LIKE NONE!) SILLY STRING IN OR AROUND THE INFLATABLE!!! Silly String is Kryptonite to the vinyl that these inflatables are constructed from.
Any blatant disregard for the above policies, the Common Sense section or the Safety Rules attached to the inflatables may lead to injury, equipment damage, or both!
